Order Entry Coordinator

General position description:

The candidate is responsible for processing orders in volume and interfacing with customers, manufacturing and sales personnel to ensure that these orders are booked promptly, are checked and matched to approved quotations and are promptly scheduled to production. This key control position is the key to ensuring we maintain customer satisfaction by getting their orders "right first time".

Main responsibilities:

  • Process orders received via e-mail, fax and post. Matching orders against approved Siebel quotes and converts to the Oracle environment. Ensures that all orders created comply with the company's published procedures for order acceptance and ensures that orders match the quotes.
  • Confirms that orders are scheduled by operations in a timely manner and is responsible for the issuance of Sales Order Acknowledgements to the customers and sales groups
  • Communicates with customers, manufacturing and programme management staff and sales department personnel regarding the status of the order and keep them apprised of their order status.
  • Maintain order booking logs

Qualifications and Experience:

  • 2 years experience in a similar role
  • Completed MBO+ education
  • Proficient in MS Office Suite (Word, Excel, Outlook)
  • Knowledge of Siebel and Oracle order management applications or similar

Additional information:

Candidates must be self-motivated and posses excellent oral and written communications skills. Good understanding of the English language is a must, a 2nd European (French, Spanish, German, etc.), African, or Arabic language is a bonus. Organisational and time management skills are needed to ensure that the requested tasks are completed by the specific deadlines. Knowledge of various quality issues affecting the manufacturing environment. Excellent interpersonal and leadership skills are needed. Basic computer knowledge for using word processing (Microsoft Office Suite) and Visio software, as well as knowledge of Oracle ERP systems, Sales, Marketing, Finance, Accounting and MRP are strongly desired. The candidate must work safely at all times and maintain the confidentiality of all customer and company information.
